Documents & Files
Lawzana Flow provides two ways to manage documents: attached to a matter, or as standalone files in the Files section. Both support AI-powered analysis.
Uploading Documents#
To a Matter#
- Open the matter and go to the Documents tab
- Click Upload Document or drag and drop files into the area
- Documents are automatically associated with the matter
To the Files Section (Standalone)#
- Go to Files in the sidebar
- Click Upload or drag and drop
- Standalone files are not tied to any matter — useful for templates, reference materials, or firm-wide documents

File Size Limits#
- Uploads by team members: Up to 25 MB per file
- Uploads by clients (via portal): Up to 10 MB per file
Folder Organization#
Organize your documents into folders for easy navigation:
- Click New Folder in the Documents tab
- Name the folder and optionally choose a color
- Drag documents into folders, or move them via the context menu
- Folders can be nested for hierarchical organization
Text Extraction#
When you upload a document, Lawzana Flow automatically extracts the text content. This is required before AI features can analyze the document.
- Status indicator: A checkmark (✓) appears when text extraction is complete
- Processing time: Usually a few seconds for standard documents
- Scanned PDFs: May not extract properly — consider using text-based PDFs
AI Analysis#
Once text is extracted, several AI-powered analyses become available. See AI Features for full details on:
- AI Summary — One-click document overview
- Key Facts Extraction — Dates, names, amounts, claims
- Document Chat — Ask questions about the document
- Gap Analysis — Find missing provisions in contracts
- Deviation Detection — Compare against firm standards
Sharing Documents with Clients#
To share a document through the client portal:
- Open the document in a matter
- Toggle Share with Client to on
- The document becomes visible in the client's portal view
- Clients can download shared documents
Note
Sharing is per-document. You control exactly which documents each client can see.
Downloading Documents#
- Click the download icon next to any document to save a copy
- Documents are downloaded in their original format
- Clients can download shared documents from the portal
Deleting Documents#
- Click the context menu (three dots) next to a document
- Select Delete
- Confirm the deletion
Note
Deleting a document also removes its AI analysis results. This cannot be undone.
