Lead Management

Leads represent potential clients who have expressed interest in your services. Lawzana Flow helps you track them from first contact through to conversion into a matter.

Lead Sources#

Leads can enter your pipeline from multiple channels:

Lawzana Directory Inquiries from your Lawzana.com firm listing
Website Widget Submissions from the embeddable lead form on your website
Zapier Imported automatically via Zapier integrations
Manual Entered manually by your team
Referral Referred by an existing client or contact
Bar Association Referral from a bar or legal association
Social Media Inquiry via social media channels
Networking Contact from a networking event
Other Any other source

Creating a Lead#

  1. Go to Leads in the sidebar
  2. Click New Lead
  3. Fill in the lead details:
    • Name (required)
    • Email (optional)
    • Phone (optional)
    • Message — any notes or context about the inquiry
    • Lead Source — select from the dropdown
    • Assigned To — assign a team member to follow up

Views#

List View#

The default view shows leads in a traditional table format. You can:

  • Sort by newest, oldest, name A–Z, or name Z–A
  • Filter by stage, source, or assigned team member
  • Search by name, email, or phone
  • Click any lead to open its detail page

Kanban Board#

Switch to Kanban view for a visual pipeline. Each column represents a stage, and you can:

  • Drag and drop leads between stages
  • See lead counts per stage at a glance
  • Quickly identify bottlenecks in your pipeline

Lead Stages#

Stages define the steps in your lead pipeline. Lawzana Flow provides default stages that you can customize:

Stage Description
New Newly received lead
Contacted Initial outreach made
Consulted Consultation completed
Qualified Confirmed as a viable prospect
Proposal Sent Engagement proposal sent
Negotiating Terms under discussion
In Progress Work has begun
Retained Successfully converted to client
Lost Lead did not proceed
Tip
Customize your stages in Settings → Lead Stages. You can add, rename, reorder, and delete stages to match your intake process.

Stage Templates#

Three pre-built templates are available:

  • Default — Standard intake pipeline (9 stages)
  • Extended — More granular tracking with additional qualifying steps
  • Simple — Minimal pipeline for straightforward intake

Lead Detail Page#

Click on any lead to view its detail page, which includes:

  • Contact information — Name, email, phone, message
  • Lead source — With an icon indicating the channel
  • Created date — Shown as relative time (e.g., "3 days ago")
  • Stage — Current pipeline position
  • Assigned team member
  • Activity timeline — Notes, calls, emails, and status changes

Adding Activities#

From the detail page, you can log activities such as:

  • Notes about conversations
  • Call records
  • Email correspondence
  • Status changes

Converting a Lead to a Matter#

When a lead becomes a client:

  1. Open the lead detail page
  2. Click Convert to Matter
  3. Set a matter title
  4. The lead's contact information is automatically transferred to the new matter
  5. The lead is marked as "Retained"
Note
Converting a lead creates a new matter and links the contact information. The original lead record is preserved for reporting.

Notifications#

You'll receive notifications when:

  • A new lead is submitted (via widget, Zapier, or directory)
  • A lead is assigned to you
  • A lead moves to a new stage

Configure notification preferences in Settings → Notifications.
