Time Tracking

Track billable and non-billable time directly on a matter, with rates applied automatically and totals that flow straight into your invoices.

Time tracking lives on each matter under the Billing tab → Time.

Logging Time#

Open a matter, go to the Billing tab, and use Add time to record an entry. Each entry has:

  • Date — when the work was done
  • Duration — accepts flexible formats: 2.4h, 144m, or 2:24
  • Narrative — the description that appears on the client's invoice
  • Billable — toggle off for time you don't intend to charge
  • Rate — leave on Auto to use the resolved rate (see below), or set a one-off override

Every member can add time. You can edit or delete your own draft and approved entries; once an entry has been billed it is locked.

The Timer#

Instead of entering a duration by hand, use Start timer on the matter's Billing tab. A running timer then appears in a bar at the top of every page, so you won't lose it when you navigate away. It shows the matter you're timing and the elapsed time; click Stop & save to record the time as a draft entry.

Tip
If a timer has been running for more than 8 hours, the bar turns red and reminds you it's still going — handy for catching a timer you forgot to stop.

Draft with AI#

In the time-entry dialog, Draft with AI turns a rough note into a clean, professional billing narrative. You always review and edit the result before saving, and AI-drafted entries are marked with an AI badge. This uses AI credits — see AI Features.

How Rates Are Decided#

When you log time on Auto, Flow resolves the rate in this order, most specific first:

  1. The fee earner's rate for this client (per-client, per-attorney override)
  2. The client's default rate
  3. The fee earner's own default rate
  4. The firm default rate

The rate is snapshotted onto the entry when you log it, so later rate changes never rewrite past time.

Set firm and staff defaults in Settings → Invoicing & rates, and per-client rates on the client's record in Contacts.

Note
If a billable entry has no rate yet, Flow won't bill it at zero — it is left out of invoices until you set a rate. A banner prompts you to configure rates when this happens.

Increments and Rounding#

In Settings → Invoicing & rates you can set the billing increment (6, 12, 15, 30, or 60 minutes) and rounding (Up, Nearest, or None). Durations are rounded to the increment when the time is valued.

Entry Status#

Status Meaning
Draft Logged, not yet approved
Approved Reviewed and ready to bill
Billed Included on an invoice — locked from edits
Written off Deliberately not charged

Work in Progress (WIP)#

The Time view shows running totals for the matter:

  • Unbilled time — hours not yet on an invoice
  • Unbilled value — what that time is worth at current rates
  • Non-billable — hours logged as non-billable
